Here is the counterintuitive truth about deleted files: deleting a file does not destroy it. The computer crosses it out of the index and marks that space as available. The data itself is still sitting there — until something new gets written on top of it. That is why a file deleted weeks ago sometimes comes back perfectly, and a file deleted an hour ago is sometimes gone for good.
Which of those you get depends mostly on what you do in the next few minutes.
Stop using that drive
Everything a computer does writes to its drive — browser cache, autosaves, updates that install themselves. The operating system hands out "free" space constantly, and your deleted file is now sitting in free space. Once new data lands on it, no software, no lab and no amount of money brings it back.
- If the file was on the computer's main drive, stop using the computer for anything optional. Above all, do not download a recovery program onto that same drive — you could bury the very file you are trying to save.
- If it was on a USB stick, memory card or external drive, unplug it and set it down. That drive is now frozen in time.
Check the easy places first
Most "lost" files turn up in the first ten minutes without any recovery software. Work through these in order:
- The Recycle Bin, or Trash on a Mac. Sort by date deleted. Restore puts the file back where it lived.
- Cloud trash folders. OneDrive, Google Drive, Dropbox and iCloud each keep their own deleted-files folder, typically for around 30 days. Deleting a file from a synced folder on your computer deletes it in the cloud too — but the cloud's trash usually still has it.
- Search for it. Files get dragged into the wrong folder more often than they get deleted. Search the whole computer for a distinctive word from the name.
- The Sent folder. The number of "lost" documents recovered from a Sent-mail attachment is enormous. Same for files shared in chat apps.
Know the bin's blind spots, though. Shift+Delete on Windows skips it entirely. Files deleted from USB sticks and memory cards never go to the bin, and files deleted from a network drive usually don't either. A file bigger than the bin's size limit is deleted outright, with only a warning box you probably clicked through.
Restore a previous version
If backups were ever set up — even half-heartedly, years ago — this is the clean way home: it does not depend on the deleted copy at all.
- File History on Windows: right-click the folder the file lived in, choose Restore previous versions, and browse the dated snapshots.
- Time Machine on a Mac: open the folder, enter Time Machine and step backwards until the file reappears.
- Version history in OneDrive, Google Drive and Dropbox: right-click the file on the service's website. It is also the fix for a file you saved over rather than deleted — the older versions are still there.
Free recovery software — what it can honestly do
Tools like Recuva, PhotoRec and Microsoft's free Windows File Recovery scan a drive for files the index has crossed out. On the right job they work well: a recently deleted file, on a mechanical hard drive, USB stick or memory card that has not been used much since. Two rules keep them from doing harm:
- Install the tool on a different drive from the one you are recovering.
- Save the recovered files to a different drive too, or you may overwrite the very data you are pulling off.
Be realistic about the results. Names and folder structure often come back mangled — ten thousand files called FILE0001 onwards is a normal outcome. Partially overwritten files come back broken: a photo with the bottom half grey, a video that stops after ten seconds. And no software fixes a drive with a hardware fault.
The SSD reality check
If the file lived on an internal SSD — nearly every laptop sold in the past decade — the picture changes. When you delete a file, Windows and macOS send the drive a command called TRIM, and the SSD genuinely erases those blocks in the background, often within minutes. That is part of what keeps SSDs fast, and it means undelete tools usually come back empty no matter how quickly you acted. Your realistic routes are the bin, cloud trash and backups. Memory cards, USB sticks and most external drives do not get TRIM, so the old rules still apply.
Formatted drives and cards that demand formatting
Formatting sounds terminal and often isn't. A quick format — the default — writes a fresh, empty index and leaves the data in place; deep-scan tools routinely pull whole photo libraries off a quick-formatted card. A full format on any recent version of Windows overwrites the data as it goes, and there is no honest way to soften that one.
The related scare: you plug in a card or external drive and the computer announces you need to format the disk before you can use it. Do not click Format. The card's index is corrupted, but the files behind it are usually intact, and recovery software reads straight past the broken index. If it is a camera card, stop shooting on it too.
When it's a failing drive, not a deletion
Clicking or grinding sounds, files vanishing on their own, a drive that disappears and reappears — that is hardware failure, and it changes the rules. Recovery software makes a failing drive worse, because a deep scan is hours of sustained work for a mechanism that is already dying. Power it down and leave it down; every hour it runs costs data. When professional recovery is the answer
Some jobs should skip the DIY stage entirely:
- The drive makes any unusual noise, was dropped, or is not detected at all.
- A free tool found the files but they came back corrupted — rescanning rarely helps and keeps a tired drive working.
- The data is genuinely irreplaceable: the only copy of the business's books, a decade of family photos.
A proper lab clones the drive first, sector by sector, and recovers from the copy, so nothing it does can make the original worse — that care is much of what you pay for.
