Most small offices run on the router the internet provider supplied, aimed at a household of four. It works until roughly the point it does not — usually when a dozen devices, a couple of video calls and a shared drive are all competing at once.

The fix is rarely faster internet. It is usually a modest amount of the right hardware in the right places, plus some discipline about what connects where. Most of it you only have to get right once.

Symptoms of a network that has been outgrown

  • Video calls break up while everything else seems fine.
  • The Wi-Fi is strong in some rooms and unusable in others.
  • The shared drive or printer disappears and comes back.
  • Everything slows down at particular times of day.
  • Someone has to reboot the router regularly. This is the clearest sign of all.

Before you buy anything

Do not buy faster internet to fix a Wi-Fi problem. They are different things. Plug a laptop into the router with a cable and run a speed test. If the wired number looks like what you pay for, the provider is fine and the bottleneck is inside the office — which is good news, because the office is the part you control. If it is slow on a cable at the router, that call to the provider is worth making.

The four boxes, in plain words

A working network is four jobs. In a home router, one box does all four — which is exactly why it struggles.

  • The modem talks to your internet provider. It turns the cable or fibre entering the building into something your equipment can use. You rarely think about it again.
  • The router is the traffic cop: it decides what goes out to the internet and what stays inside, hands out addresses and runs the firewall. This is the part that runs out of breath first on consumer gear.
  • The switch is a power strip for network cables. Every wired device plugs into it. Buy more ports than you think you need; you will use them.
  • Access points make the Wi-Fi. They are not the router, even though home units bundle the two. They belong where people work, not where the cable happens to enter the building.

Consumer gear or business gear

Consumer hardware is not junk. Up to roughly ten devices, a decent home router does the job, and pretending otherwise would just be selling you something. Past that, it runs out of capacity for simultaneous connections long before it runs out of speed — which is why the office feels slow while every speed test looks fine.

Business-grade gear buys four things that matter: room for many devices talking at once, guest networks and VLANs done properly, power over Ethernet — access points and cameras run off the network cable alone, no outlet needed in the ceiling — and remote management, so a technician can fix most problems without a site visit. It costs more up front and earns it back the first time something breaks on a Friday.

Wire what does not move

Run cable to anything that stays put — desktops, printers, the till, the access points themselves. Every wired device is one fewer competing for the air, which makes the Wi-Fi better for the phones and laptops that genuinely need it. The cable is cheap; pulling it is the cost, and it is cheapest while walls are open. Pull two runs to each spot while you are at it — the second costs almost nothing now and a great deal later.

Mesh kits exist for the building you cannot drill. They work, but every wireless hop between units cuts throughput, so wire the units together wherever you can. Either way, placement beats power: two or three access points where people actually sit beat one powerful unit in a corner, every time. Wi-Fi is limited by the weakest direction, not the strongest.

The guest network is not optional

Visitors, personal phones and the smart TV in the break room should not sit on the same network as the machine that runs payroll. On most networks, anything connected can see everything else connected, and you do not control what is on a visitor's laptop. A separate guest network is ten minutes of work on any reasonable router and closes a genuine hole. If customers use your Wi-Fi — a salon, a café, a waiting room — guest Wi-Fi for restaurants, salons and retail covers doing it properly.

When VLANs earn their keep

A VLAN splits one physical network into separate lanes that cannot see each other — the guest-network idea, extended to wired gear. An office of laptops and a printer can skip them. Three things change that:

  • Card payments. Payment terminals and POS systems are expected to be isolated from general traffic under card-industry security rules, and a VLAN is the standard way to do it.
  • Security cameras. Cameras are chatty, occasionally run doubtful firmware, and have no business reaching your files — or, mostly, the internet.
  • Guest Wi-Fi, once it is carried across more than one access point.

VLANs work best alongside a firewall that enforces the boundaries between them — whether a small business needs a firewall gets the honest treatment of its own. The closet cleanup

Planning for the next size up

Networks are cheapest built slightly too big. Buy the switch with spare ports. Pick access points from a line you can add to and manage from one screen, rather than a different brand per room.
